FAQ

Q. I have a question about my wedding pictures: does there always have to be people in the picture or can I also submit pictures with only details from the dress, the bouquet or something else which belongs to that specific wedding?

A. You can enter any picture in the panel you want. So, it doesn't have to be all people or faces. Just make sure the whole panel forms a unity, that holds it together, demonstrating diversity of subject matter and high production quality.

Q. What size must the pictures submitted for the QEP be?

A. The short side of the mounting board being not less than 40 cm and the longest side must not exceed 50 cm. In other words any size from 40x40 cm up to 50x50 cm will be accepted. Any small deviations from the specified size will only be judged at the Chairman’s discretion.

Q. Do the pictures have to be mounted?

A. Prints must be mounted on light cardboard or <10 mm foamboard, polyboard, kapaboard or the equivalent. Each mount must contain a single image.

Q. What must be on the CD/DVD that has to accompany the pictures?

A. All panels must come with a CD/DVD containing a digital version of all 12 images in high resolution, 300 dpi, 20 cm the longest side, for possible printing purposes and a digital version of a contact sheet with proofs of the same pictures in the order they have to be exhibited during the judging session.
To help the webmaster it is strongly recommended to add to the CD/DVD a second low resolution version (1024 x 819 px) of the 12 images for web site and presentation purposes. Please don't leave large borders around your low resolution pictures when they are not an essential part of the layout. So your pictures will appear larger on the web site.
Don't forget to include your full name and address on the CD/DVD cover and on the CD/DVD.

Q. What about a contact sheet?

A. All QEP panels must come with a printed A4 or A3 size contact sheet of the submitted pictures in the order they have to be exhibited during the judging session. A digital version of this contact sheet must also be on the CD/DVD that comes with the pictures.

Q. Should anything be written on the back of the pictures?

A. All pictures must be clearly numbered on the back to correspond with the visual guide (contact sheet). A directional arrow is also required.



Q. How do I have to send the pictures?

A. All photographic prints must be submitted to the Brussels FEP headquarters in a lightweight reusable case (fibre, aluminium, etc) for easy handling and return shipping. Don't use cardboard boxes and tape. Cases must be easily reusable for return shipping.



While every care will be taken with materials submitted, it is a condition of entry that neither FEP nor any Member Association accepts any responsibility for any loss or damage caused.

Transportation of the panels to the Brussels office and back is the responsibility of the candidate or of his/her relevant national association. If panels are sent by courier they must be sent as documents and marked "No Commercial Value".

Q. How much is the application fee?

A. An application fee of EUR 150,00 for the QEP and of EUR 250,00 for the Master QEP is due to cover the costs, such as venue charges, certification, jury expense, etc.

Q. What is the deadline for sending the application form?

A. The application form must be sent via e-mail to secretariat@europeanphotographers.eu to arrive at the FEP office by April 30th at the latest for the June judging session or by October 31st for the November/December session. It is also mandatory to send a copy of this application form to the national headquarters of your relevant FEP member association.

Q. What if my panel does not comply with the rules?

A. The FEP Secretariat will not put forward for judging any panels unless the following procedures have been adhered to, neither will these panels be returned to their authors, if:
- the images submitted do not conform to these rules, 
- the submission fee has not been paid
- the membership of the candidates has not been confirmed by the relevant association.
The relevant National Association will assist with organising and checking that everything is in order with their own candidates before submissions are judged.

Q. How will I be informed about the results of the judging session?

A. All candidates will receive written notification of the result of their submission from the QEP Jury. Successful candidates will receive a certificate from the FEP. A list of all successful candidates ONLY will be announced.

Q. Do the judges know the name of the photograher whose work they are judging?

A. The anonymity of all candidates will be respected at all times including during judging sessions.

Q. How can I get my pictures back after the judging session?

A. To cover the costs of return transportation of your works to the address indicated on the application form you must enclose proof of an additional bank transfer in the amount of EUR 60.00. Do not complete this part of the application if you do not require your prints to be returned.
Sometimes the delegates or judges of your national association can bring and return the pictures when coming to the judging session. Ask your national association for more information.
